Intercontinental Nairobi is looking for an Executive Office Coordinator

Working in the Executive Office the successful candidate will have the primary responsibilities of:
  • Assists the Executive Secretary in day to day support for the Regional General Manager’s schedule, including travel arrangements and meeting preparations.
  • Prepares various administrative procedures not limited to transcribing office letters, memo’s and other correspondence communicated by the Regional General Manager or Executive Secretary.
  • Serves as a contact and liaison for assigned functions and programs with Hotels in the region, clients and key organizations and agencies
  • Drafts response letters to guest questionnaires/concerns/complaints and any other correspondence for the Regional General Manager’s approval
  • Participates in the maintenance of a calendar of activities, meetings, and various events for the Executive Office and coordinates activities with the relevant contacts.
  • Screens calls, visitors, and mail while providing information and assistance including responding to sensitive requests for information and assistance from clients and staff.
  • Performs accounting duties in support of the assigned area, coordinates and tracks accounts payable and accounts receivable, participates in accounting for and processing of requisitions and expense vouchers for assigned area including travel expenses, mileage, and credit card usage
  • Performs duties of the Executive Secretary during his/her absences.
  • Performs related duties as required.
Qualifications;
  • 3 – 5 years experience offering administrative support to a senior executive
  • Previous Hospitality experience is preferred but not a must
  • Excellent oral and communication skills
  • Ability to prioritize and quickly reprioritize workload regularly.
  • Ability to foresee needs for planning purposes, and to follow-up for completion of activities.
  • Ability to interact courteously and effectively with volunteers, staff and public.
