Events / PR Manager Job in Kenya (USD 700)

Position: Events / PR Manager
The Role:

The role of an event manager comes into existence by taking his / her responsibilities and to ensure that the event is proceeding properly. 

The event manger has to plan the event from inception; decide budget, decide location, etc., for the event in consultation with the Senior Event Management Consultant.  
She / He is solely responsible for the success of the event.
Duties and Responsibilities:
  • Researching markets to identify opportunities for events;
  • Liaising with clients to ascertain their precise event requirements;
  • Producing detailed proposals for events (e.g. timelines, venues, suppliers, legal obligations, staffing and budgets);
  • Agreeing to and managing a budget;
  • Securing and booking a suitable venue or location;
  • Ensuring insurance, legal, health and safety obligations are adhered to;
  • Coordinating venue management, caterers, stand designers, contractors and equipment hire;
  • Organising facilities for car parking, traffic control, security, first aid, hospitality and the media;
  • Identifying and securing speakers or special guests;
  • Planning room layouts and the entertainment programme, scheduling workshops and demonstrations;
  • Coordinating staffing requirements and staff briefings;
  • Selling sponsorship/stand/exhibition space to potential exhibitors/partners;
  • Preparing delegate packs and papers;
  • Liaising with marketing and PR colleagues to promote the event;
  • Liaising with clients and designers to create a brand for the event and organising the production of tickets, posters, catalogues and sales brochures;
  • Coordinating suppliers, handling client queries and troubleshooting on the day of the event to ensure that all runs smoothly;
  • Overseeing the dismantling and removal of the event and clearing the venue efficiently;
  • Post-event evaluation (including data entry and analysis and producing reports for event stakeholders).
  • Prepare final event checklist after event has been approved and send the draft checklist to the MD. The checklist should have the suggestions of staff required and the internal budget.
  • Shall call for regular status meetings.
  • Meet deadlines and produce satisfying results for each event organized.
  • Attend the event until it’s completed and provide the final report.
  • She/he has to maintain a follow up, provide questionnaires after the event and collect reviews from the client. 
  • Attend local and international forums / events.
Qualifications and Skills
  • Graduate’s or masters degree in Marketing / Public Relations or Branding;
  • At least 2 years of experience in a similar role;
  • Should possess expert planning, managing and coordinating skills;
  • Should be creative enough to come up with interesting ideas regularly;
  • Should be a good listener, interprets to transform the clients thoughts into reality;
  • Should have ability to understand the context of the event and the type of guests supposed to attend a particular event;
  • Expert at planning budgets, negotiating and communicating with the clients;
  • Enthusiastic and should posses ability to create motivation amongst the employees;
  • Should be goal oriented and strive to complete the assigned project on time;
  • Ability to handle stress and work extra hours if necessary.
