Receptionist

Responsibilities:

  • Ensure front desk is staffed during assigned weekly hours
  • Assist in coordinating and training staff and volunteers assigned at the front desk
  • Maintain a clean, welcoming and informative environment the office reception area
  • Responsible for the office procedures in the beginning and the end of the day
  • Assist visitors by fielding general questions, providing basic assistance and redirecting them to the appropriate staff when needed
  • Screen incoming calls and messages, reply to messages as requested
  • Manage the phone system, including updates for the general message
  • Distribute paperwork, checks or information to participants as requested by direct-service staff
  • Maintain up-to-date knowledge of staff schedules, contact information and appointments
  • Assist with administrative tasks as time allows

Knowledge, Skills, Abilities:

  • Excellent organizational and problem solving skills
  • Capability to multi-tasking and balance multiple responsibilities
  • Knowledge of the second language a plus
  • Good computer knowledge, including MS Word and Excel, and the ability to learn new programs
  • Self-motivated worker with the ability to work independently, demonstrate initiative and complete required tasks on time
  • Demonstrate ability to work effectively with diverse group of people
  • Flexibility and the ability to learn quickly in a fast paced work environment

Requirements:

  • Ability to provide excellent customer service
  • Previous customer service experience a plus
  • Good oral and written communication in English
  • Diploma or degree or commensurate work experience
