The Catholic Diocese of Maralal is looking for a mature, result and self-oriented professional to fill in the following post:
Position: Administrative and HR Secretary
Reports to: Hospital Administrator
Duty Station: Wamba Hospital
Job Purpose: The job holder will provide a comprehensive secretarial and administrative support to day-to-day operations of the Administration and Human Resource Office.
The Administrative and HR Secretary will liaise closely with Diocesan Human Resource Officer, Accountant and other departments in the Hospital.
Roles and Responsibilities;
- Execute timely, efficient and effective operations of the administration department.
- Prepare administrative and HR reports and correspondence.
- Handle office correspondence and filing system.
- Handle information requests from clients and visitors.
- Arrange, schedule and organize board meetings, staff meetings and other departmental meetings when required.
- Organize and update databases effectively.
- Trouble shoots problems arising internally.
- Integrate best practices and standards in administrative functions.
- Work closely with the HR Officer to implement staff evaluation process, and receive evaluation from departmental supervisors.
- Ensure all staffs are aware of HR policies and procedures and implement consistently and uniformly.
- Assist in organization and conduction of staff orientation and induction.
- Maintain files and paperwork related to applications, current employees and policies.
- Act as a liaison between employees and Human Resource Officer to respond to employee queries and concerns.
- Manage employee leaves.
- Prepare employee contracts.
- Facilitate and participate in recruitment and selection process.
- Participate in payroll management.
- Handle and manage employee relation matters in consultation with the Human Resource Officer.
- Use discretion and maintain confidentiality at all times.
- Any other duty as assigned by the Hospital Administrator and Human Resource Officer.
