Purpose: This role is responsible for providing daily pro-active support in human resource for health at the county level

Primary Responsibilities:

  • Management of timesheet processes to ensure their accuracy, timely completion and submission, completeness, receipt, recording, tracking, stamping, storage and retrieval of original timesheets.
  • Maintain accurately updated timesheet checklists on a monthly basis.
  • Follow up with Contract staff on all matters pertaining to required documents such as Timesheets and other documentation.
  • Maintain accurately updated staff master list both on excel and virtual manager for all staff (approximately 900) at Homabay County.
  • Update facility supervisor and head changes on the master list on a monthly basis.
  • Prepare required reports human resource reports (monthly, quarterly & semi-annual reports).
  • In liaison with facility in charges conduct verification of staff presence at post on a needs basis.
  • Conduct monthly facility visits at the respective facilities
  • Creating, updating, maintaining and safe keeping of all staff records and files during onboarding and on a continuous basis;
  • Coordinate the staff file management systems between Deloitte and EGPAF to ensure staff records are all up to date
  • Patriciate upon request in recruitment process by EGPAF by ensuring compliance of all recruitment procedures and process in areas of , advertising, shortlisting, scheduling and coordinating interviews and appointment process;
  • Creating performance evaluations and assigning staff in the HRIS evaluation system and support employees across the Group on any technical issues that may arise;
  • Receiving and responding to staff queries on human resource related issues and forwarding the relevant HR issues of staff to the relevant teams in EGPAF and Deloitte ;
  • Coordinating staff exits through receipt of resignation, circulation of resignation letter to relevant parties, follow up to ensure exit interviews are conducted, providing documentation to payroll and issue certificate of service once file is closed;
  • Communicating , supporting and documenting the entire disciplinary hearing process and facilitate the implementation of recommendations in partnership with EGPAF to ensure that all HR procedures are followed
  • Documenting and reporting on-going HR initiatives in line with reporting requirements.
  • Conducting onsite induction to staff in a need basis

Person Specifications

Academic Qualifications

  • Bachelor’s degree in HR/Social Sciences

Professional Qualification

  • Diploma in HR and membership to professional society/body

Experience

  • At least 3 year relevant experience

NB: The successful candidate will be on a 1year contract (renewable for 3years and will work from the client’s office i.e Homabay.
