Secretary to the Board of Directors

Job Purpose: The main responsibility of the secretary is to provide professional, courteous and confidential assistance to the Board of Directors by managing day to day administrative activities of the Directors’ offices.

Responsibilities

  • Maintaining diaries and arranging appointments
  • Typing, preparing and collating reports
  • Organizing and servicing meetings (producing agendas and taking minutes)
  • Managing databases
  • Prioritizing workloads
  • Implementing new procedures and administrative systems
  • Liaising with relevant organizations and clients
  • Acting as a receptionist and/or meeting and greeting clients
  • Answer phone calls and redirect them when necessary
  • Manage the daily/weekly/monthly agenda and arrange new meetings and appointments
  • Prepare and disseminate correspondence, memos and forms
  • File and update contact information of employees, customers, suppliers and external partners
  • Support and facilitate the completion of regular reports
  • Develop and maintain a filing system
  • Check frequently the levels of office supplies and place appropriate orders
  • Make travel arrangement for the Directors
  • Ensuring all secretarial and administrative work under the directors’ is handled in a proper & professional manner

Qualifications:

Education & Experience

  • Diploma in Secretarial Studies from a reputable institution
  • Certificate in computer application skills
  • Customer service training
  • 2 years experience in a busy hospital
