Our client seeks to recruit for a Sales & Inventory Officer.
Job Summary: The Sales & Inventory Officer is responsible for generating and supporting sales while maintaining disciplined inventory, customer, order and sales records and ensuring smooth fulfilment from enquiry through delivery.
Key Accountabilities
Sales & Customer Acquisition
- Respond promptly to customer enquiries through walk-ins, phone, WhatsApp, email and social media.
- Understand customer needs and recommend suitable bicycles, accessories, spare parts and services.
- Prepare accurate quotations and follow up outstanding quotations.
- Maintain a customer and sales pipeline.
- Identify repeat-sales, servicing, accessories and referral opportunities.
- Support promotions, exhibitions and other sales campaigns.
Order & Sales Administration
- Capture confirmed orders accurately.
- Confirm stock availability before committing delivery timelines.
- Coordinate invoicing and payment confirmation with Finance.
- Track orders from confirmation to delivery or collection.
- Maintain complete customer and sales documentation.
Inventory Management
- Maintain accurate stock records in Zoho Inventory or the approved system.
- Record receipts, transfers, sales, returns, adjustments and dispatches promptly.
- Conduct cycle counts and support physical stock takes.
- Monitor minimum/maximum stock levels and raise replenishment alerts.
- Investigate physical-versus-system discrepancies.
- Identify and document damaged, returned or defective stock.
Product Knowledge
- Maintain current knowledge of bicycle models, sizes, specifications, accessories and spare parts.
- Understand basic component compatibility.
- Refer complex technical questions to the Workshop Officer.
After-Sales Service
- Follow up customers after purchase where appropriate.
- Coordinate warranty/service matters with the workshop.
- Record complaints and follow them through to resolution.
Reporting
- Prepare daily and weekly sales updates.
- Report quotations, conversion rates, sales, pending orders and follow-ups.
- Report stock-outs, slow-moving items and discrepancies.
Key Performance Indicators (KPIs)
- Monthly sales revenue/target achievement.
- Quotation-to-sale conversion.
- Customer response and follow-up time.
- Order accuracy and fulfilment rate.
- Inventory record accuracy.
- Stock discrepancy rate.
- Customer satisfaction and complaint closure.
- Reporting accuracy.
Key Requirements
- Diploma or Bachelor's degree in Sales & Marketing, Business Administration, Supply Chain, Inventory Management or related field.
- 3-5 years' experience in sales, retail, inventory, stock administration or similar.
- Strong computer skills, especially Excel/Google Sheets.
- Experience with Zoho Inventory, POS or ERP systems is an advantage.
- Experience selling bicycles, technical products, automotive products or sporting goods is an advantage.
- Customer-focused selling.
